A website can begin the booking journey, but the site itself is not usually the thing sending the appointment reminder. A connected scheduling platform receives the booking, stores the event and sends whatever confirmations or reminders its current plan supports.
That distinction matters because capabilities, message limits, fees and channels vary by provider, plan and region. Build the workflow around what is verified in the account you will actually use.
The usual workflow
- The visitor chooses a service and time on the website or an embedded scheduler.
- The scheduling platform creates the event and sends an immediate confirmation.
- A reminder is scheduled relative to the appointment.
- The customer can reschedule or cancel according to your rules.
- The owner sees the updated event and any notification the account provides.
The handoff between the website and scheduler is the important part. If a booking is only a form submission, there may be no event for a reminder system to act on.
Email and SMS are not interchangeable
Email confirmations are common. SMS may be available through a scheduling provider or a connected messaging service, but its availability and cost depend on the provider, plan and region. Sender rules and consent requirements may also apply in Canada and the United States.
Do not promise custom SMS integration, a particular delivery rate or a fixed message cost until the selected provider and account have been checked. Reminder channels cannot guarantee that someone attends.
What you need to decide first
- How far before the appointment should a reminder go out?
- What information should the customer be able to change?
- What is the cancellation deadline and what does a late cancellation mean?
- Do you need an intake form, a deposit or a confirmation of preparation steps?
- Who handles a reply when a customer responds to the reminder?
Test it like a customer
Book from a phone using a test address, verify the time zone, wait or use the provider's test controls, and check the confirmation and reminder. Try changing the appointment, cancelling it and entering an invalid contact detail. Confirm that the owner can see each state without relying on a screenshot from the customer.
Keep expectations realistic
Reminders reduce avoidable forgetfulness; they do not replace good service, clear policies or a follow-up process. Start with the channel your provider supports reliably, then add another only when the volume and cost justify it.
